The vibrant city of Asheville is also within easy reach, about 40 minutes away, allowing for day trips to explore its renowned arts scene, breweries, and the Biltmore Estate.

For check-in, you’ll need to visit our Old Fort Office located at 243 Catawba Ave S to collect your gate card, as Dancing Bear Cabin is situated within a gated community. Detailed driving directions to our Old Fort Office, along with specific access instructions, will be emailed to you prior to your arrival. It’s important to use the directions provided by Greybeard Rentals, as GPS may not be reliable in this area. Once you have your gate card, you will receive clear directions to Dancing Bear Cabin from our Old Fort office.
Booking Policies: Cancellations and Refunds
We understand that plans can change. Our cancellation policy for Dancing Bear Cabin is designed to be fair while also protecting our property owners. If you need to cancel your reservation, and we are able to re-rent the cabin for the exact dates you had booked, you will receive a full refund minus an $89 cancellation fee. However, if the cabin remains unrented for your reserved period, you will forfeit the funds you have paid up to the point of cancellation.
To safeguard your investment and provide peace of mind, we strongly recommend purchasing trip insurance. This can protect you against unforeseen circumstances that may lead to cancellation. Pet Policy at Dancing Bear Cabin
Please note that Dancing Bear Cabin is designated as a “non-pet friendly” property. This policy is in place to accommodate guests with allergies and to respect the preferences of the homeowners. We kindly request that you adhere to this policy.
Bringing a pet to Dancing Bear Cabin, without prior authorization from Greybeard Rentals or the homeowner, will result in a minimum charge of $600. This fee covers the costs associated with deep cleaning, including carpets, upholstered furniture, and air purification, to ensure the cabin remains suitable for all guests. Furthermore, violating the no-pet policy can be grounds for immediate termination of your rental agreement without refund.

Check-in and Check-out Procedures
To allow our housekeeping team sufficient time to prepare Dancing Bear Cabin for each guest, our standard check-in time is 4:00 PM and check-out time is 10:00 AM. Adhering to these times is crucial, especially during peak seasons when back-to-back bookings are common.
If you anticipate arriving earlier than 4:00 PM, an early check-in option may be available for a fee of $50. Early check-in is contingent upon whether there is a departing guest on your arrival day and the readiness of the cabin. Please contact us to inquire about early check-in availability.
Key Pick-up and Access Information
As mentioned earlier, check-in for Dancing Bear Cabin begins at our Old Fort Office at 243 Catawba Ave S. Here, you will pick up your gate card which is necessary to access the gated community where the cabin is located. Driving directions to the office and detailed access instructions will be sent to you via email.
Dancing Bear Cabin features a convenient keyless entry system. Approximately 3 days prior to your arrival, you will receive a unique access code via email. This code will allow you to enter the cabin directly, once you have passed through the gate.
Emergency Contact Information During Your Stay
In the event of a medical emergency, please dial 911 immediately from either the landline phone in the rental home or your cell phone.
For any other urgent matters or concerns that arise during your stay at Dancing Bear Cabin, Greybeard Rentals provides 24/7 on-call support. Simply call our office at 828-669-1072 and select option 1 to be connected to the on-call staff member. We encourage you to contact us immediately if something requires urgent attention. For non-emergency inquiries, we kindly request that you call during our regular office hours.
Firewood and Fire Safety
Firewood is not automatically provided at Dancing Bear Cabin. While some previous guests may have left behind a small amount, it’s best to plan on purchasing your own firewood if you intend to use the fireplace. Small bundles of firewood or Duraflame pressed logs are readily available at local grocery stores in Old Fort and surrounding areas.
For safety and environmental reasons, cutting branches, limbs, or trees on the property is strictly prohibited. You are welcome to use fallen limbs found on the ground. Outdoor fires are only permitted if the property is equipped with a designated fire ring or fire pit. Bringing your own portable fire pit is not allowed.
Internet and Cell Phone Service Availability
Complimentary WiFi is available at Dancing Bear Cabin. However, please be aware that internet service is provided via satellite, which may have limitations in speed and bandwidth. Activities such as streaming movies or music, or playing online games, may not be reliably supported. Greybeard Rentals does not guarantee uninterrupted internet connectivity or specific speeds, as service is managed by individual homeowners through independent providers. If needed, our Black Mountain and Asheville offices offer WiFi access during business hours.
Cell phone service in the Old Fort area can be variable and is not guaranteed at Dancing Bear Cabin. We recommend checking with your cell phone service provider to determine coverage in this specific location.
